RecyclyERP 2026.12 is here, and it is the biggest release we have ever shipped. Almost 90 improvements land across the platform, headlined by automatic carbon savings tracking, a smarter way to capture site access information, a one-document route from Purchase Order to sellable stock, a booking form you can tailor without a developer, and a tool that updates every document template you own in one pass.

This release focuses on ESG, Collections & Drop-offs, Address Book, Inbound Orders, Templates & Documents, Items & Lots, Outbound Orders, Accounting Integrations, Setup Assistant and the Customer Portal - with selected features added to your Setup Assistant so you don't miss them.

Release Highlights

  • Automatic carbon savings tracking. Switch on the new ESG features (Settings > Search for ESG) and RecyclyERP calculates the CO2e avoided by your work, automatically. Every re-used device and every kilogram recycled earns a carbon figure, rolled up per item and per job, with the factors used stamped and frozen at the time of calculation so your numbers stand up to audit. The ESG evidence tenders increasingly ask for, generated from work you are already doing.
  • From Purchase Order to sellable stock. Raise one Purchase Order and RecyclyERP creates the receiving job and its expected Items for you. When the goods arrive, scan them straight into stock. Buying in stock means one document to raise instead of two.
  • Site Access Details. Record parking, security, safety and handling requirements once against each Company or Site, and every Collection carries the current details automatically. Customise your own Site Access Categories and fields, and even choose which to show on your Book a Collection or Drop-off form.  Crews arrive prepared, the access surprises that cause failed collections are cut away, and nobody retypes anything.
  • Your booking form, your questions. Add your own, custom questions to the Book a Collection or Drop-off form, with no code and no waiting for development. Every answer is stored as proper, searchable data and carried through to the resulting order.
  • Bulk Word Templates Update. Change a logo, an image or a line of text across many Word Document Templates at once, with a Word and PDF preview of every change before it is applied and a restorable previous version kept for each template. Updating every document template for a rebrand now takes minutes, not days.
  • Filter your certificates, point-and-click. The Document Templates filter is now point-and-click with one-click pre-sets, so any user can control exactly which assets appear on a certificate or report, such as recycled items only, without touching code or raising a ticket.

ESG

  • Introduced ESG Factor Sets, so the CO2e (carbon dioxide equivalent) avoided by your operation is calculated automatically at both item and job level.
  • Added a Donate/Charity action type, opening up a dedicated route for donated items and the social value story that goes with them.
  • Added a settings toggle to switch ESG features on when you are ready, along with a "Review ESG Factors" action in the Setup Assistant.
  • Improved validation so only one ESG Factor Set can be active at a time, keeping your reported figures consistent.
  • Added a help panel above the ESG Factor Sets list, and linked the relevant Knowledgebase article from all four ESG screens.

Collections & Drop-offs

  • Added configurable Booking Form Questions to the Book a Collection form, so you can tailor exactly what information is collected from customers when a collection is requested.
  • The Book a Collection form now also captures how customers would prefer to be contacted, and that preference follows the enquiry all the way through to the resulting order.
  • The Book a Collection form now shows chosen Site Access Details grouped by category, making it clearer what access arrangements apply on the day.
  • Enhancements to the Book a Collection form ensure an enquiry is never lost, even if a question is left unanswered partway through.
  • Simplified the booking journey by removing a redundant step and spelling out both available paths more clearly in the on-screen guidance.
  • Internal users can now manage Booking Form Questions directly, and the Reference field is no longer requested when it is not needed.
  • Notes submitted through the Booking Form are now posted more reliably into the record's activity log.
  • Improved the message shown when booking a collection for a company that has just been created, so it accurately reflects that the company is new.
  • The Customer Portal's "Book a Collection" button now works smoothly for every contact, resolving an error that could interrupt booking.
  • The Schedule Collection and Drop-off buttons now fully respect the "limit to one" setting where this has been configured.

Address Book

  • Introduced Site Access Details, a structured way to record access categories and fields for each Company and Site, replacing the older free-text Site Details.
  • Active Collections now always reflect the Site's current Site Access Details automatically, keeping information up to date without any retyping.
  • Site Access Details entered at Company or Contact level now automatically carry across when a Contact is linked to a new Company, reducing repeated data entry.
  • Existing processed Collections have had their historical site access information filled in for consistency, where it was not previously captured.
  • Improved the reliability of dropdown searches when working with Site Access Details.
  • Drivers and Crew records are now more clearly linked to Employees and Users, making it easier to see how the two relate.
  • Contact records now open reliably in all cases, resolving an error that previously affected some Contacts.

Inbound Orders

  • Enhanced the goods-in process so a Purchase Order now automatically creates a receiving job with its expected Items, which can then be scanned in as they arrive, taking purchased stock from order to shelf in one flow.
  • Added a clearer progress indicator showing how many items have been booked in during receiving, and renamed the finishing button to "Finish Booking In" for clarity.
  • Added spec fields to the mobile Create Order Lines screen for more precise booking in.
  • The Items counter on receiving jobs now reads directly from the job's own items for greater accuracy.
  • Improved wording and guidance throughout the receiving screens, including clearer, plain-English notes shown when a draft bill is created for accounting integrations.
  • Transfer buttons now use direction-specific labels and tooltips, and the inbound reserve option is hidden where it is not relevant.
  • Inbound Order Financials now show all Quotation and Sales Order columns by default, except Site Address, giving a fuller view at a glance.
  • Added a "Common Fields" search filter to the top of the Hardware Audit Reports list and the Asset Types > SKUs list, making it quicker to search across shared fields.
  • Duplicate Item/Lot IDs found during import are now flagged with a clear message.
  • Clarified when the "Update Item Attributes" import option is shown, so it only appears when relevant to the import type selected.
  • Aligned the Inbound Quotations and Sales Orders Group By menus so both work the same way.
  • Inbound Quotations now open reliably, resolving an error some users encountered.

Templates & Documents

  • Added Bulk Word Templates Update, a new tool to change logos, images or text across many Word Document Templates at once, with a Word and PDF preview of every change before it is applied, and a restorable previous version kept for each template.
  • Added rich-text Find & Replace to Bulk Word Templates Update, including the ability to replace logos and images by choosing from thumbnails, and inserting an image into a header where none previously existed.
  • Made the Document Templates filter (found under the Report Context field on the Advanced Properties tab) far easier to use, so any user can control exactly which assets appear on a certificate or report using point-and-click filters and one-click pre-sets.
  • Streamlined the Bulk Word Templates Update toolbar to show only supported formatting options, and placed Find and Replace side by side for easier editing.
  • Tidied up the Bulk Word Templates Update screen by removing buttons and menu options that did not apply to it, and added a clearer confirmation step with a coloured summary before changes are applied.
  • Renamed the app to "Templates & Documents" and reorganised its menus for clarity.
  • Placeholders under Document Templates > Merge Fields > Recycly Field now always display cleanly.
  • Refined the filters and grouping available on the Documents/Attachments screen.

Items, Lots & Asset Types

  • Automatic, rule-based grading is now complete: items are scored from their recorded condition details and graded automatically, whole batches can be regraded in one action, and grades feed straight into resale pricing. Manual overrides remain available throughout.
  • Items/Lots list attributes can now be edited directly from the list, for both single and multiple records at once.
  • Added a bulk action to mark the Intended Final Action as Completed across multiple Items/Lots at once.
  • Grading Template Lines are now grouped by Area, with Category shown as a fallback, and drag-to-reorder has been restored, so checklists mirror the way an operative actually inspects a device.
  • The Grading Areas list now shows usage counts alongside a help panel explaining how to use the screen, and no longer allows column sorting, keeping the order consistent.
  • Added a Comments attribute and matching data field, so grading comments can now be captured and mapped consistently.
  • Improved matching between grading reports and Items, so reports link to the correct Items more reliably.
  • Added grading guidance directly to the attribute configuration screens.
  • Improved the accuracy of SKU Grade matching, and resolved an issue where grading outputs could incorrectly appear in the SKU attribute pickers.
  • Grading attribute updates now flow through smoothly, even when archived grades conflict with incoming values.
  • Manufacturer is now a parent of Model, giving a clearer hierarchy across audits, imports and integrations, and keeping asset data clean however it arrives.
  • Asset Items that are not in stock, or that have been reserved by a Sales Order, can no longer be demanufactured, protecting stock promised to buyers.
  • Warehouse locations can now be viewed and edited directly from both the warehouse list and the warehouse form.
  • Added a Location column to the Items & Lots list.
  • Added the ability to assign Asset Types directly from the Bill of Materials tab, with clearer tab labelling; the Parts Harvesting flag is now enabled automatically when doing so.
  • Improved the Models list mass edit, and how the Manufacturer to Model filter carries across.
  • Improved the reliability of saving items, so serial numbers and current snapshot attributes always stay intact.
  • Renamed the "Product" search/filter on the Asset Types, Services and Consumables list views to better reflect what it searches.
  • Prevented the "Standard Weight" label from wrapping awkwardly on the Asset Type form.
  • Kept the "Mark Complete" button correctly inside the form border, even at high zoom levels.

Outbound Orders

  • Sales Orders and Deliveries can now be viewed by line, giving dispatch teams a detailed line-by-line breakdown of what there is to pick, pack and ship, without opening each order.
  • Strengthened the outbound delivery workflow: Deliveries can now be cancelled but not deleted, and the Sales Order raises a clear warning whenever a delivery is cancelled or its quantities change, so the warehouse and sales stay in step.
  • The Assignee field can now be bulk-edited across many Outbound Orders at once.
  • Transfer buttons now use clearer, direction-specific labels.

Accounting Integrations

  • RecyclyERP now prompts users to update the linked Xero contact whenever a change made in RecyclyERP would affect it.
  • Improved Xero syncing so a cancelled sync no longer silently disables future updates, and changes are pushed as the user who actually made the edit.
  • RecyclyERP now pushes updates to Xero using a dedicated sync account, improving consistency regardless of who made the original edit.
  • Xero validation errors are now shown per line, making it clearer exactly which line needs attention.
  • Added support for 100% discounted invoice lines in the Xero integration.
  • The Xero sync prompt no longer appears in places where it cannot be actioned.
  • Added clearer, step-by-step guidance for the draft bill note used with accounting integrations such as QuickBooks.

Setup Assistant

  • Added a "Review ESG Factors" action, so the new carbon savings features are ready to switch on with confidence.
  • Added an entry for configuring Booking Form Questions.
  • Added a "Configure SKUs" action.
  • Added a "Configure Scrap Location" action.
  • Added an auditing software option for Certus.
  • Tidied the grouping labels shown for Email Templates.

Customer Portal

  • Renamed the customer-facing portal address for a more consistent and intuitive web address, and resolved a redirect issue on the previous address.

General & Platform-wide Improvements

  • The side menu now automatically collapses after a short period of inactivity, at all screen sizes, giving more room to work; it also collapses when the pointer leaves the window.
  • Company Settings now clearly show Save and Undo buttons whenever a change is made, so it is obvious when there are unsaved edits.
  • Added an extra layer of protection for certain system records, so they can be safely viewed and browsed without being accidentally altered.
  • Improved the current user profile form's layout and usability, and clarified that an email signature is not included in log notes.
  • Improved reliability when exporting reports, resolving an issue that could affect report downloads.
  • RecyclyERP now displays correctly whatever languages are installed.
  • Enhancements for Microsoft Edge and Chrome, so settings changes now apply smoothly and consistently in both browsers.
  • Added guidance for using SendGrid when SMTP AUTH is disabled on Microsoft 365 email.

The above changes are now available for all customers to use (you might just need to refresh your browser).

Coming soon...

2026.12 may be our biggest release yet, but the pace is not slowing. Here is a taste of what the team is working on for the coming releases:

  • Digital Waste Tracking (DWT). Built-in support for Defra's new UK waste-tracking requirements, with a daily export you can review, generate and submit.
  • Returns & RMA. A complete returns workflow: log an RMA, receive items back, and handle credit notes, refunds or replacement orders, with return labels and reporting included.
  • ESG, next phases. On-screen ESG reporting with drill-down, an Environmental Impact Report per job and customer period, an ESG dashboard in the Customer Portal, and materials and social impact tracking to follow.
  • Route Planning & Optimisation. Smarter Collection routing, with time windows, driver and vehicle clash detection and address quality checks.
  • Marketplace eCommerce integrations. List and sell your stock on marketplaces such as Amazon and eBay, directly from RecyclyERP.
  • Report Builder. Create, save, share and export your own custom list reports.
  • Mobile device processing. IMEI capture, mobile erasure reports and device-testing integrations for phone and tablet workflows.
  • SLA tracking on Inbound Orders. See SLA deadlines on orders, get reminders before a breach, and report on SLA performance.
