RecyclyERP 2026.13 is here, and it is a landmark release for our UK customers: Digital Waste Tracking has arrived, well ahead of Defra's 1 October 2026 deadline. Alongside it comes a complete Returns & RMA workflow, on-screen ESG reporting with a customer-ready Environmental Impact Report, a rebuilt in-app help system across more than fifty screens, and a raft of improvements right across the platform.

This release focuses on Digital Waste Tracking (UK), Returns & RMA, ESG, In-App Help, Collections & Drop-offs, Inbound Orders, Items & Lots, Templates & Documents and Contracts - with new features added to your Setup Assistant so you don't miss them.

Release Highlights

  • Digital Waste Tracking for UK sites. From 1 October 2026, every licensed or permitted UK waste site must report each day's received waste to Defra within two working days. RecyclyERP now does that for you: open the new DWT Export screen, pick a date, and the day's received loads are listed ready to check. Generate Defra's own spreadsheet, upload it to their "Report receipt of waste" service, and mark the day as submitted. The report is built from Collections you have already booked in, so there is nothing to re-type, and anything Defra require that is not yet recorded is flagged against the record you fix it on rather than being guessed. Nothing is ever sent to Defra without you. Not a UK site? You will not see any of it.
  • Returns & RMA, end to end. Log a return with its type and reasons, book the returned items back in with a per-item outcome, and settle it with credit notes, refunds or replacement orders, all from one RMA record with a clear status flow and a full history.
  • ESG reporting, on screen and on paper. The carbon savings RecyclyERP calculates for you can now be explored in a new ESG Summary report, and turned into a polished Environmental Impact Report for a single job or a whole customer period, ready to hand to your customer.
  • Help where you need it. More than fifty in-app help panels have been rebuilt on a new standard component: collapse the ones you know, keep a one-line preview, and expand them again with one click, per user and per screen. Some panels now even include live figures from the very screen you are on.
  • Select assets by pasting a list. Paste a list of item numbers into the new Select Pasted List tool and the list is filtered down to exactly those records, ready to select and act on in one go, up to 2,000 references at a time.
  • Booking In, pre-filled. Save your own session defaults so every new item you book in starts pre-filled with the values you chose, with one button to edit them and one to clear them.

And that is just the start. Read on for everything in 2026.13.

Digital Waste Tracking (UK)

  • Introduced Digital Waste Tracking (DWT) for UK customers: switch it on under Settings > Inbound > Digital Waste Tracking (UK) and RecyclyERP prepares Defra's daily "receipt of waste" report for you. The section only appears for companies based in the United Kingdom, and with the setting off nothing DWT-related appears anywhere.
  • Added the DWT Export screen (Logistics & Inventory > Operations): pick a date, review that day's received loads with their EWC codes, weights, carriers and vehicles, then generate, download and mark the day as submitted, with each day's status tracked from Draft through Generated to Submitted and a full DWT Export History kept as your record of having reported.
  • The generated file is Defra's own spreadsheet template, filled in rather than recreated (Defra do not allow their format to be changed), clearly named with your company and the date, and opening cleanly in Excel at the first cell. And because Defra's template is still in beta, a one-click self-check confirms the export still matches their current version.
  • Reports are built entirely from Collections and Drop-offs you have already booked in, including carrier and vehicle details from the Collection's transport lines, so there is no re-typing.
  • A Missing Info column flags anything Defra require that has not yet been recorded, against the exact load it belongs to. Generating with gaps first shows a clear Missing Information summary, and missing values are always left blank for you to complete, never guessed or defaulted.
  • Hazardous waste is handled properly: an EWC code flagged as hazardous automatically answers the hazardous questions and carries its hazardous property codes through to the export, and possible POPs content is never silently answered "No".
  • Loads whose weight is estimated are marked as such in the export, separately from missing data, exactly as Defra's template expects.
  • Added the Defra reference data behind it all: hazardous property codes, physical forms, container types and disposal / recovery codes matching Defra's own lists, plus new fields on EWC Codes to hold each code's defaults.
  • A daily reminder banner tells you when a day still needs submitting, escalating to URGENT as the two-working-day deadline approaches, with short snoozes and a per-user preference. Loads received after a day was submitted are flagged and join the next export.
  • Help panels on every DWT screen link to a full step-by-step Knowledgebase guide, and a Setup Assistant entry walks you through switching it on.

Returns & RMA

  • Introduced the new Returns workflow (Outbound > Returns): raise an RMA, choose the customer and the items coming back, record the return type and reasons, and move it through a clear status flow from Draft to Resolved, with list, Kanban, Pivot and Graph views to manage the queue.
  • When raising a return, the customer list is filtered to customers who actually have something to return, and items are added directly on the Items list for faster entry.
  • Receive returned items with a per-item outcome: bring an item back into stock as the same asset, book it in as a new asset with a new barcode, or record that it is not being restocked, and ticking a row automatically fills in the expected quantity.
  • A clear banner on each RMA shows how many of the expected items have been received, and administrators can add an unexpected item to the RMA on the spot.
  • Resolve the money side from the same record: raise credit notes (always against the correct invoice), refunds or a replacement order, with optional fees, all linked back to the RMA.
  • A return window warning now tells you exactly which item is outside the window, by how long, and where the return window number comes from, and it folds away neatly so it never pushes the Items list off the screen. New systems start with a sensible 30-day return window.
  • Tooltips throughout make clear which RMA stage each action becomes available from.
  • Day-to-day returns work needs no special permissions, while Return Reasons and the new settings are kept to administrators, and a Setup Assistant entry helps you configure it all.

ESG

  • Added the ESG Summary report (Inbound > Reporting > ESG): explore the CO2e avoided by your operation by customer, Inbound Order, Asset Type, outcome, month and more, with units, weights and re-use versus recycling savings, and drill down from any figure to the records behind it.
  • Added the Environmental Impact Report: generate a polished document for a single job or for a customer over a period, summarising the work done and the estimated CO2e avoided, ready to send to your customer.
  • The job-level Environmental Impact Report can also be shown to your customers on the Customer Portal with the standard "Show on Customer Portal" flag (off by default, so you stay in control).
  • Every Intended Final Action now maps to one of four standard reporting outcomes (Preparation for re-use, Recycling, Other recovery, Disposal), so ESG figures are consistent wherever they appear.
  • ESG factor values can now be seen by everyone who uses ESG, while only administrators can change them.
  • Added help panels to the new ESG reporting screens, grouped the ESG reports under their own heading in the Reporting menu, and Document Template groups are now sorted consistently by System Area.

In-App Help & Guidance

  • Rebuilt more than fifty help panels across the whole system on a new standard component: collapse a panel once you know the screen and it stays collapsed for you, on that screen only, without affecting anyone else.
  • A collapsed panel keeps a one-line preview of its contents next to the new "Expand Help" button, and any links in the preview stay clickable.
  • Help panels can now show live values from the record you are looking at, so the guidance reflects your actual data rather than a generic example.
  • Links inside help panels are now bold and underlined, so what is clickable is obvious.
  • Field-level guidance messages now use the same standard look, and on mobile the collapse control sits where you expect it, matching the desktop view.

Collections & Drop-offs

  • Collections that arrive early can now be processed straight away: Book In Items & Lots and Print New ID Labels are available while a Collection is still at Waiting, without having to move it on first.
  • Customers' Most Recent and Next Collection Dates now keep themselves up to date automatically each day, so a collection whose date has passed always shows under Most Recent and only genuinely upcoming collections show under Next.
  • The Book a Collection or Drop-off form now works properly on phones and small screens, with the estimated quantities table presented as easy-to-use cards.
  • The "Collections / Drop-offs / Transfers" area is now named "Collections / Drop-offs / Transfers / Outbound Deliveries" everywhere it appears, reflecting everything that lives there.

Inbound Orders

  • Booking In now remembers your session defaults: choose the values you want every new item to start with, and each item you book in arrives pre-filled with them. A clearly labelled button lets you edit the defaults, a banner names the fields being pre-filled, and a "Clear all Defaults" button (with confirmation) resets everything.
  • Enhancements to emailing a Purchase Order to a supplier: it now works smoothly every time, including when the email template is based on a Word document, the screen explains exactly which document will be emailed, and you are told clearly if a Word Document Template has no file uploaded yet. A help panel has been added to Email Templates too.

Items, Lots & Inventory

  • Added Select Pasted List to Inventory Adjustments and the Items & Lots list: paste a list of item numbers (up to 2,000 at a time) and the list is filtered down to exactly those records, ready to Select All and act on, with clear feedback on anything that could not be matched.
  • Asset Types can now automatically add storage components to every new Item booked in, ideal for phones and networking equipment whose built-in storage is easy to miss and which certification standards such as R2v3 expect you to track and sanitise. The drive record exists from the moment of booking in, with the Item's own serial or IMEI copied across if you choose, is enriched rather than duplicated by erasure and audit reports, can be completed or removed by hand for devices that never meet erasure software, and carries through to your Data Erasure and Data Destruction certificates. Strictly opt-in per Asset Type, so nothing changes until you switch it on.
  • Grading now understands counted faults: a Grading Rule can multiply its effect by how many times a fault occurs, so three missing keys or ten dents no longer cost the same as one. A new guided Grading Rule form adapts to the attribute you pick and confirms what the rule will do in a plain-English sentence, with the full setup still available as Advanced.
  • The Inventory Adjustments screen now uses the standard "BASIC EXPORT" button in its usual place, and its empty screen now explains what to do next instead of leaving you guessing.
  • Simplified the Asset Type Details screen by removing two stock actions that do not apply to how RecyclyERP manages assets, keeping the menu to things that work.
  • The Customer Payout Adjustment setting on Grading is now clearly labelled as coming soon, ahead of automatic payout calculations arriving in a future release.
  • Further improved the matching of hardware audit reports to Items, now reliable even in very large batches.

Templates & Documents

  • Overhauled the Document Templates form's Advanced Properties tab: labels now read properly without wrapping, and new Reset to Default buttons let you restore the Printed Report Name (and its multi-record equivalent) without the form saving itself before you have had a chance to undo.
  • Added the standard help panel to every tab of the Document Template form and to the Document Templates list, including a link to the published Document Templates guides in the Knowledgebase.
  • Site Access Details can now be used as merge fields in Word Document Templates, including in the Commonly Used lists, so collection paperwork can carry parking, security and handling information automatically.

Contracts

  • Added a clear help box above the Contracts list explaining what Contracts are for and drawing attention to the bulk "Update Contract(s) from Contract Template" feature, whose menu item, dialog and buttons now all carry the same name.
  • The same help follows you to the Contracts list opened from a Contract Template, and the Contract Templates list and form have gained matching guidance.

General & Platform-wide Improvements

  • Every change to RecyclyERP now runs a full automated test suite before it is accepted, including a complete build onto a fresh, empty system whenever a change could affect installation, catching an estimated 99.5% problems long before they could ever reach you.
  • Knowledgebase Label colours are now chosen with a proper colour picker rather than a number.
  • The Set eCommerce Stores action now reports its item and lot counts accurately.
  • Tidied the badges shown on protected system records so they no longer overlap the record's lock label.

The above changes are now available for all customers to use (you might just need to refresh your browser).

Coming soon...

2026.13 delivers the biggest features we trailed last time, and the pace is not slowing. Here is a taste of what the team is working on for the coming releases:

  • ESG, next phases. An ESG dashboard in the Customer Portal, plus materials and social impact tracking to follow.
  • Digital Waste Tracking, next phase. Defra intend to replace the spreadsheet upload with a direct connection, and automatic submission is planned before the manual route is withdrawn in 2027 Q4.
  • Returns & RMA, next phases. Return labels and richer returns reporting, completing the returns story.
  • Grading & Valuation. Automatic valuation and customer pay-out calculations driven by your grading results.
  • Route Planning & Optimisation. Smarter Collection routing, with time windows, driver and vehicle clash detection and address quality checks.
  • Marketplace eCommerce integrations. List and sell your stock on marketplaces such as Amazon and eBay, directly from RecyclyERP.
  • Report Builder. Create, save, share and export your own custom list reports.
  • Mobile device processing. IMEI capture, mobile erasure reports and device-testing integrations for phone and tablet workflows.
