RecyclyERP 2026.15 completes your returns story: raise the RMA paperwork and return labels, email them to your customer, scan the items back in and report on all of it. Alongside it comes a new welcome experience for every user, a Manufacturer & Model Smart-Matcher for cleaning up asset data at scale, cost and value tracking on every item, and a safe way to see your Customer Portal exactly as your customers do.

This release focuses on Returns & RMA, Outbound Orders, Inbound Orders, Items & Lots, Digital Waste Tracking, the Customer Portal, Asset Types, Fleet & Vehicles, Hardware Auditing, the Address Book and Getting Started - with new features added to your Setup Assistant so you don't miss them.

Release Highlights

  • The returns story, completed. Every return can now carry a proper RMA document and return shipping labels, be emailed to your customer in one click, be received back by scanning with an outcome recorded per item, and show up in brand-new Returns reporting. The RMA document is a Document Template, so you can reword it, restyle it and keep your own versions.
  • A proper welcome for every user. A new "Welcome to RecyclyERP" window introduces the system's main areas with a gliding strip of feature cards, backed by a new Getting Started area in your Setup Assistant and a full walk-through guide in the Knowledgebase.
  • The Manufacturer & Model Smart-Matcher. Hand-typed manufacturer and model names can now be tidied in bulk: it suggests likely matches against the reference list that ships with RecyclyERP, shows how confident it is in each one, and applies only what you approve, with a full audit trail.
  • Every item can now carry its costs and its value. Record what an item cost you to collect and process, alongside its fair market value, target and minimum sale prices, and how long it has been in stock - the foundations for automatic valuation, which is on the roadmap below.
  • See your Customer Portal as your customers see it. Permitted staff can open the Customer Portal as a chosen portal user - read-only, clearly bannered, and with nothing saved - so support questions can be answered by looking at exactly what the customer is looking at.
  • Digital Waste Tracking reports the right day. Loads now land on the day they physically arrived rather than the day they were booked in, and the export now matches Defra's expected date and time format exactly.

Returns & RMA

  • Generate a professional RMA document for any return. It is built as a Document Template, so you can change the wording and layout, add your branding and keep versions of your edits.
  • A new "Email RMA to Customer" action sends the paperwork straight from the return, and can send it again later if the customer mislays it.
  • Print return shipping labels so returned items arrive labelled and traceable.
  • Receive returns by scanning, record an outcome for each item as it comes back, and confirm the receipt when you are done, with clearer screens throughout.
  • New Returns reporting under Outbound Orders shows return types, quantities and performance over time, in list, pivot and graph views, and is available to all staff, not just administrators.
  • A new Returns & RMA guide in the Knowledgebase, linked from help panels across the returns screens.

Getting Started & Setup Assistant

  • A new "Welcome to RecyclyERP" window greets each user the first time they sign in after this release, introducing the system's main areas with a gliding strip of feature cards that pauses only when you click or drag it.
  • A new Getting Started area in the Setup Assistant walks new teams through their first steps in a sensible order.
  • A new "Getting Started with RecyclyERP" walk-through guide is published in the Knowledgebase, reachable from the welcome window and from the user menu.
  • Setup Assistant search now looks through descriptions and notes as well as titles.
  • The Setup Assistant can now be grouped by status, and "Mark as Complete" is always to hand.
  • Setup Assistant links can now open the exact Settings section they describe, complete with a copy-link button, and saving Settings now returns you to where you were instead of the general Settings page.
  • You can now set up your own reference numbers and IDs - the prefixes and next numbers on your orders, invoices, items and more - from the Setup Assistant, with a new guide in the Knowledgebase.

Items, Lots & Inventory

  • The new Manufacturer & Model Smart-Matcher suggests likely matches between your hand-typed manufacturer and model names and the built-in reference list, shows how confident it is in each one, and applies only the matches you approve, with filters for working through a large backlog and an audit trail of every change. "Smart Match" buttons on the Manufacturer and Model screens run it for one record at a time.
  • Items can now carry their own financial picture: costs by type such as Collection, Processing Labour and Parts, a fair market value, target and minimum sale prices, and days in stock.
  • Large Items & Lots import files now complete reliably, with the work handled in batches rather than in one long-running request.
  • The import screen's help is now the standard collapsible help panel.
  • An item's manufacturer, model and serial details now carry through correctly after grid entry and when an item's initial and current records are separated, resolving an issue where they could show blank.

Digital Waste Tracking

  • A load is now reported against the day it physically arrived rather than the day it was booked into the system, and existing collections have been brought into line automatically.
  • The spreadsheet export now uses Defra's exact date and time format.
  • The reminder banner now links straight to the Digital Waste Tracking guide in the Knowledgebase, and a snoozed reminder can be brought back from your own preferences.
  • Switching Digital Waste Tracking off in Settings now hides its menus straight away.

Outbound Orders & Deliveries

  • Adding an item that another order has already promised now warns you, so the same stock is never quietly sold twice.
  • Order and delivery lines for a specific Item or Lot now show its proper name and reference rather than an internal code.
  • Deliveries now say which item each line belongs to, and line totals and gross weights on delivery lines now calculate smoothly, resolving an error some users encountered.
  • Closing the Reserve Stock window from a delivery now leaves you on that delivery instead of jumping to the order.

Inbound Orders & Collections

  • "Send Items Back to Customer" now defaults to the quantity actually scanned rather than the quantity originally expected, and is no longer offered when nothing is left to send back.
  • The Scan Incoming screen now shows the destination package column by default.
  • Recording hard drive details in quick entry now saves smoothly when marking existing rows as final.

Asset Types & Services

  • An Asset Type can now be marked as a component without also being something you take in from customers, so parts extracted during demanufacture can be set up exactly as they are.
  • The Bill of Materials picker now offers only Asset Types that can actually be components.
  • Clearer wording when removing a component from an item, saying exactly what will happen.

Fleet & Vehicles

  • A vehicle's main driver is now chosen from your employees, keeping one clean record per person, with a warning where duplicate employee records exist and clearer tooltips across the vehicle screen.

Hardware Auditing

  • Menu search now finds the Hardware Audit screens by the name of your erasure software, and the reports and their sources are easier to find and better described.
  • A Hardware Audit Report and an asset item can now be matched, or unlinked, by hand in either direction, with a warning where details disagree and a note kept of every change.

Customer Portal

  • Staff you have given the permission can now open the Customer Portal as a chosen portal user and see exactly what that customer sees. It is read-only, a clear bar shows it is a simulation and offers one click back out, nothing is saved, and the customer's own record of signing in is untouched.
  • Any staff member viewing the Customer Portal is now shown a clear banner explaining what they are looking at, and a customer's job now lists its Collections for staff as expected.

Address Book & Company Details

  • Tax number labels now follow the record's own country - GST, GST/HST, TRN and more - with a matching example, on the Address Book and your own Company Details alike, updating the moment the country changes.
  • Opening several contacts' Inbound Order counts at once now works smoothly.

General & Platform-wide Improvements

  • Labels and printed documents set to print directly now go straight to the assigned printer rather than downloading a PDF first.
  • Your chosen list columns now survive upgrades, and a column favourite saved on one list no longer changes any other.
  • Searching the main menu now copes with more of the words people actually type, including tax terms, people and company terms, jobs and stock.
  • An empty list now names the thing you can create, rather than calling everything a document.
  • The ESG guides in the Knowledgebase have been refreshed and extended with two new articles, and the reporting screens' help now points straight at them.

Coming soon...

2026.15 completes the returns story and lays the first stones of automatic valuation. Here is a taste of what the team is working on for the coming releases:

  • ESG, next phases. Materials and social impact tracking, plus a "Your Effect on the Planet" view for eCommerce shoppers.
  • Digital Waste Tracking, next phase. Defra intend to replace the spreadsheet upload with a direct connection, and automatic submission is planned before the manual route is withdrawn in 2027 Q4.
  • Grading & Valuation. Automatic valuation and customer pay-out calculations driven by your grading results, building on this release's item costs and values.
  • Route Planning & Optimisation. Smarter Collection routing, with time windows, driver and vehicle clash detection and address quality checks.
  • Marketplace eCommerce integrations. List and sell your stock on marketplaces such as Amazon and eBay, directly from RecyclyERP.
  • Report Builder. Create, save, share and export your own custom list reports.
  • Mobile device processing. IMEI capture, mobile erasure reports and device-testing integrations for phone and tablet workflows.
  • SLA tracking on Inbound Orders. See SLA deadlines on orders, get reminders before a breach, and report on SLA performance.
